To process refund/s via our online application form.

We know our form says "This form is for customers who have booked directly with Virgin Atlantic. If you booked through a travel agent please contact them directly", we just want to remind your customers to get in touch with you to help with the refund, so you are good to carry on.

You must complete all applicable fields as per below

  • Name: Ensure that the name updated on the form is the lead passenger’s name
  • Email: Please update using your agency email address
  • Tel Number: Preferably the contact number of your Revenue Accounting department. If this is not know, then your department number.
  • Address:  Agency address details
  • Booking Reference: Field must be completed with the applicable VS PNR Locator.
  • Depature Airport - Complete with applicable details
  • Ticket Number: Must be completed with the lead passenger’s ticket number starting with 932. Failure to do so may result in your booking not being processed within the expected timeframe.
  • Return Flight - If this is a one way ticket, update this with your outbound flight details.
  • Supporting documents Will only be required if you are claiming a full refund for Bereavement purposes.
  • ADDITIONAL INFORMATION Please title any comments with US AGENCY REFUND. Please use this section to advise us of additional passengers and their ticket numbers on the PNR
  • Click on the confirmation box and then press ‘Send’. You will receive a confrimation email. Please note, this is a generic email response and any refund authorisation from us will be emailed directly to you for processing via ARC.
